Adjusting or Backdating a Move-in Date

You can now change a booking’s move-in date or create bookings with a move-in date in the past. This helps you handle real-life situations where move-in plans change or bookings are entered into the system after a customer has already moved in.

When would you use this?

This feature is useful when:

  • A customer postpones their move-in date.

  • A booking was created late, after the customer already moved in.

  • A scheduled booking needs to be updated before the customer arrives.


Backdating a Move-in Date When Creating a Booking

When creating a booking, you can now select a move-in date in the past.

How it works

  1. Go to Create booking.

  2. Choose a move-in date — this can now be a past date.

  3. Complete the booking setup as usual.

In this example 'today' = 11.03.2026. Move in days in the past can be selected.

Billing behavior

Be aware that: If the move-in date is in the past, billing starts from the current billing period, not the historical period!

Example:

Scenario

Result

Booking created on 4 Nov, move-in date 1 Nov

First billing period: 1 Nov – 1 Dec, full amount charged

Booking created on 4 Nov, move-in date 1 Oct

First billing period: 1 Nov – 1 Dec, full amount charged

This ensures that billing aligns with the current active billing period rather than generating retroactive invoices.

When selecting a booking plan, the system will display a notification showing when the customer will be charged from, based on the selected move-in date and billing period.


Adjusting the Move-in Date for a Scheduled Booking

You can also update the move-in date of scheduled bookings.

⚠️ This action is not available for active bookings (once the first invoice has been created).

How to adjust the move-in date

  1. Open the Booking detail page.

  2. Click Adjust move-in date.

  3. Select the new move-in date from the calendar.

  4. Review the billing preview.

  5. Click Change move-in date.

The system will automatically update:

  • the booking start date

  • the billing schedule

  • related booking timelines

Optional: Send updated contract

If e-signature is enabled, you can choose to send an updated contract.

  • The option “Send updated contract for signing” is enabled by default.

  • A new contract will be generated and sent to the customer.


What happens if you backdate the move-in date?

Backdating may affect automated email triggers related to move-in events.

For example:

  • If you backdate the move-in date by 15 days, an email scheduled for 2 days after move-in may already be in the past and will not be sent.

To prevent confusion, the system will show a warning in the interface reminding you to ensure the customer has received all relevant information.

This trigger can include:

  • previous move-in date

  • updated move-in date


Limitations

  • Move-in dates cannot be adjusted for active bookings once the first billing invoice has been created.

  • Backdating does not generate retroactive invoices for past billing periods.

  • Some automated emails may not send if their scheduled trigger date is already in the past.

  • Temporary limitation (this will be changed by Q2 2026): If you backdate a move-in day you won't be able to use the "Adjust booking" feature.


Best Practices

To avoid communication issues when backdating bookings:

  • Confirm the customer already received all move-in information.

  • Review automation triggers that depend on the move-in date.

  • Use the Move-in date changed email trigger to notify customers of updates if necessary.
