To help you comply with contractual terms and ensure operational consistency, Kinnovis allows you to enforce notice periods and minimum rental periods on a per-booking-plan basis. These settings determine how and when customers can cancel their contracts via the Customer Portal, helping reduce manual effort while staying aligned with your terms and conditions.

Step 1: Allowing Customers to Cancel their bookings via the Customer Portal

You can provide your customers with the flexibility to cancel via the Customer Portal without getting in touch with you.

How to Enable Cancel Booking via the Customer Portal

  1. Log in to the Manager >"Booking Portal" > "Location Settings".

  2. Click on the desired location you want to activate the feature.

  3. Click on the edit pencil in the "Customer Portal" card.

  4. Activate the "Allow Cancel Booking" toggle.

  5. Select if customers should be allowed to only cancel at the end of a period or at any date.

  6. Save changes.

Step 2: Define the Cancellation Terms

Setting a Minimum Rental Period & Notice Period

Minimum Rental Period: This setting ensures customers cannot cancel their booking until a defined minimum duration has passed.


Notice Period: This defines the number of days' notice a customer must give before their cancellation takes effect.

1. Navigate to Manager > "Unit Types"

2. Choose a unit type and click on Edit or Create Booking Plan

3. Go to Minimum Rental Period and define the period:

  • If the plan is weekly, enter a number of weeks

  • If the plan is monthly, enter a number of months

Example: You offer a 1-month plan but require customers to stay for at least 3 months. Set the Minimum Rental Period to 3 months.

4. Go to Notice Period and enter the number of days required (e.g. 7, 14, or 30)

Example: A customer must provide 14 days’ notice before their chosen cancellation date.

⚠️ Important:

  • Cancellation terms must be configured individually for each booking plan you offer.

  • Please note that any changes to cancellation settings will only apply to new bookings made after the change. Existing bookings made before the update will not be affected and will retain their original cancellation conditions.

Examples: Combined Cancellation Terms

Cancellation terms that affect when customer can cancel via the Customer Portal:

  • If customers can cancel at any date or only at the end of a period (Setting in "Booking Portal" > "Location Settings" > "Customer Portal" card)

  • Defined notice period (Setting in the "Unit Type" > "Booking Plan")

  • Defined minimum cancellation period (Setting in the "Unit Type" > "Booking Plan")

📌 Be aware: Each booking plan can have its own specific notice period & min. rental period. Customers can only cancel via the Customer Portal (with the applied cancellation terms) if the setting is turned on.
