After you successfully configured the Booking portal "Global Settings", you can proceed with setting up the location specific configuration.
To get started, navigate to "Booking Portal" > "Location Settings" and choose the desired location. If you have multiple locations, please apply the instructions below to each location.
General
In the general card, you can configure basic information of your location. Almost every setting which needs explanation has an info icon, where you will find a detailed explanation and an example. Make sure to read them properly, as it will save you a lot of time and helps you to better understand the product.
Please fill out all required information for the general card.
Hint: Add your website link here to direct customers to your website when they click on your logo (left upper corner) in the booking portal.
Contact
The contact settings give your customers the possibility to get in touch with you. You can share:
Phone number
Email address
Contact form URL (if any)
Size calculator URL (if any)
Please only fill in the contact details you want to share with customer.
Note: You can control which of your contact details is shared by checking, unchecking the checkboxes in the edit dialogue.
Booking Portal Billing
You might remember setting up the Manager billing settings. The Booking Portal billing settings are similar, except they are only applied to bookings made through the Booking Portal.
We recommend being more restrictive with the Booking Portal billing settings, as these settings are then public available in the Booking Portal (i.e. choosing which payment methods should be available for payments).
Opening Hours - Facility
If you want to share the opening hours of your facility with your customers, you can add them here. You can add any text you want, the format is completely up to you. They will be displayed in the booking portal on desktop screens once they are filled out.
Opening Hours - Office
If you want to share the opening hours of your office with your customers, you can add them here. In contrast to the opening hours of the facility, here you can fully control where and if you want to display the opening hours. There are two options
Display in support window
Display in size selection window
Checkout the tooltip of each publishing setting, to see where the mentioned "windows" are located in the Booking Portal.
Unit Type Categories
You can group unit types into categories. These categories will be displayed in the first step of the Booking Portal as filter chips. Please set up the unit type categories how you prefer.
Below, you see how the unit type categories are used in the Booking Portal.
Note: The defined categories are only displayed in the Booking Portal, when they have at least one unit type mapped.
Consents
At the step in the Booking Portal, where the customer fills out their contact data, the consents checkboxes are displayed, once they are added here. When a consent is enabled, customers will see a checkbox during the booking or lead registration process (when a unit type is unavailable).
Consent Settings:
Mandatory consents (customer must agree at checkout)
Terms and conditions: If enabled, customers must accept your contractual rules and business terms.
Privacy policy: If enabled, customers must confirm they understand how their personal data is handled.
Forbidden items: If enabled, customers must agree not to store prohibited or unsafe items.
Cancellation policy: If enabled, customers must accept the rules and conditions for cancelling bookings.
We strongly recommend using and attaching a respective link to the consent boxes for your terms and conditions and privacy guidelines. This is often a legal requirement to get the consent of the customer before collecting his data.
Optional consent (customer can choose)
Marketing/Newsletter: Customers can decide if they want to receive promotional updates and news. Optional consent responses can also be changed manually via the customer detail page.
Availability of consents
All consent actions are time-stamped and stored in the database and can be exported on demand. It's available via the Export functionality (incl. timestamp of the latest recorded consent) or via our Kinnovis Public API (full consent history).
