Prerequisites

To utilize the "Share Access" feature effectively, ensure the following:

  1. Your location is connected with Sensorberg, and the individual units have access permissions mapped. This enables the feature to function seamlessly and ensures secure access management.

  2. You have set up the "Shared Access" email so that the individual receiving shared access will be notified via email. Without this, they won't receive essential information regarding their access.

Introduction to the Share Access feature

The "Share Access" feature is a tool that allows tenants to share access to their units. Instead of needing physical keys or a manual access process, tenants can grant third-party access simply using an email address. Here's how it works:

  1. In the customer portal, the tenant inputs the email(s) address of the individual they want to grant access to.

  2. They specify a start and end date for the access period.

  3. They select the unit to which they want to provide access.

Once these steps are completed, the individual to whom access is being shared will receive an email. They can then access the unit within the stipulated timeframe.

It is also possible for your tenants to delete shared access, in case, i.e. they accidentally entered the wrong email.

Note: If the original booking ends, or if you, as the operator, manually revoke the access of the booking, the shared access of all other visitors is also revoked.

How tenants can use the Share Access feature

To illustrate the process, let's walk through an example of using the Share Access feature:

  1. Your customer/tenant opens the customer portal

  2. In the "Your Bookings" card, the customer needs to click on the "Manage Access" button

  3. From that step on the customer can enter the email(s), choose the unit(s) and select the start and end date of the access (as shown in the screenshot above).

Let's say a tenant is planning to be away for a week and needs a friend to access their unit during this time. The Share Access feature provides a hassle-free method to facilitate this, eliminating the need for physical keys or manual intervention.
