Configuring Access Management with OpenTech during Onboarding

To configure access permissions during the Kinnovis onboarding process, follow these steps:

Step 1 - Ensure Successful Connection

Before proceeding, make sure Kinnovis is successfully connected to OpenTech described in the previous article.

Step 2 - Onboarding Process

During the Kinnovis onboarding process, one of our account managers will guide you to fill out the onboarding documents in order to set up your account. These sheets will be used to import your unit types and units into Kinnovis.

Kinnovis as the source of truth: When using Kinnovis and OpenTech, Kinnovis serves as the single source of truth for your unit details. Any additions or changes to unit details in Kinnovis will be automatically sent to and synced with OpenTech.

Step 3 - Import and Sync

Once your onboarding Excel sheet is successfully uploaded (done by Kinnovis), your units will be mapped to the physical locks from OpenTech. We will reach out to OpenTech informing them about this step. After this synchronization, your units and access permissions will be fully set up.

Mapping access permissions if you have Kinnovis and OpenTech already up and running

If your operations are already running with OpenTech and Kinnovis (i.e. you are not in the Kinnovis onboarding process) it is essential to review and map the access permissions identified on your OpenTech platform to each unit. Make sure that OpenTech Alliance is connected through "Connected Apps" before proceeding with this configuration. You can map Units to their “external identifier” in the “access permissions” field.

Map access permissions to existing units

  1. Click on "Units" in the menu

  2. Select the Unit you want to map

  3. Click on the pencil icon in the "General" card

  4. Select the wanted access permissions (you can also search)

  5. Click on "Save"

Map access permissions to new Units

  1. Click on "Units" in the menu

  2. Click on "Create Unit"

  3. Select the Location

  4. Select access permission(s)
Hint: you can also search within the dropdown field

  5. Fill out the rest of the unit information and click on "Save"

🏁 Congratulations! 🏁

Your customers will now be granted access automatically at the start of their booking and will have that access removed once the booking concludes.
