Your Kinnovis Onboarding

This article is designed to lay out the steps that need to be completed for you to start on the front foot and make the most of our software.

The most important thing to know is that we’ll be here to help through every step. Depending on your onboarding package, you can speak with your dedicated Project Manager via video call, email or telephone. You can also use the live chat directly within the Manager at any time should you have any questions - you can even do this after your initial onboarding has finished.

The Sales Team member that you’ve been speaking with will have passed on all the relevant details to your Project Manager, but they will also have some specific questions about how your business is set up. They’ll run through all of this with you on your ‘Onboarding Kick-off’ call.

Step 1 - Setting up your Stripe Account

We prefer to kick things off by getting the financial side up and running. We’ll walk you through setting up your payment gateway, ensuring it’s properly integrated with our system. This bit’s crucial for customer transactions and keeping your finances in order. If you have existing customers, we don’t want any payments to be missed. We’ll also make sure you’re comfortable with how it all works too.

Who does this part?

You’ll need to set up your Stripe account, because we want you to have full control over your revenue. If you already have an existing Stripe account, we can help connect this to your Kinnovis account.

Is this a required step?

Yes, so we can start taking online bookings and automate invoicing for you!

Can Kinnovis do this for me?

As it involves your financial details, from a security point alone, we feel it’s something our customers should set up themselves.

Step 2 - Importing your data

Next up, we’ll tackle the import of your data. This will include everything from your unit prices, sizing, any deposits, insurance or packing supplies that need adding to your Manager.

We gather this data through an Excel file, which our Data Team then imports into your Kinnovis account. It’s important to note that this import can only be carried out once, but your Project Manager will work with you to make sure the information and formatting added to the Excel file is accurate.

Who does this part?

We’ll supply the spreadsheet, which you can copy and paste the relevant information into.

Is this a required step?

Yes, as the alternative would take a very long time to add all this data piece by piece and it’s included in your onboarding package!

Can Kinnovis do this for me?

Yes! We’ll also help with any formatting issues or questions about what’s required. Once we've compiled everything, you'll have the opportunity to review everything before it is imported into your Manager.

Step 3 - Your Kinnovis Manager

Lastly, we’ll get your Manager account sorted. We’ll set up the necessary permissions, show you how to navigate the system, and make sure you’re ready to hit the ground running. We’ll cover all the key features you’ll need day-to-day, so you can get off to the best possible start.

Who does this part?

We’ll work with you through video calls, email and on the phone to make sure you’re comfortable.

Is this a required step?

Yes, but how long you want to spend on this part is up to you. You may want to get straight to it!

Can Kinnovis do this for me?

We can definitely help with any training you and your team may need. It’s important to us that you feel confident using our software.

Optional Steps (before going live)

There are a few steps we’d recommend doing before you’ve gone live, but they’re not mandatory.

A) Create automated email templates

Automated emails to your customers with details about things like overdue invoices or upcoming move-ins can be set up ready for your first customer.

Who does this part?

You’re welcome to create your own fully-customised templates including your branding and logo.

Is this a required step?

We’d recommend making use of this feature before going live as it can become complex once you have customers in the database.

Can Kinnovis do this for me?

We can create all your templates for you, for a one-time fee of €250.

B) Digitally signed storage agreements

When a customer books their storage unit with you online, we can integrate an electronic version of your storage agreement through Signable, which the customer can then sign electronically.

Who does this part?

You’ll need to sign up to Signable and upload your copy of your Storage Agreement.

Is this a required step?

No, but we’d recommend making use of this feature to save yourself a lot of time! If you don't need your customers to sign a storage agreement, then this feature is not required.

Can Kinnovis do this for me?

You will need to create your own Signable account, but we are happy to assist you with syncing your agreement to your Booking Portal.
