How to specify and translate your emails to multiple languages

Select languages to interact with your customers

Navigate to "Locations" in your Kinnovis Manager. Inside the "General" card, you can select the languages. Choose a default language and add secondary languages to accommodate a diverse range of customers. Refer back to this article to find out how this affects the booking portal languages.

Default Language: The default language is the primary choice. The booking portal is displayed and emails are sent to customers in this language if their browser language matches this chosen option.

Secondary Language: Secondary languages are additional languages for which translations are available. If a customer's browser language matches a secondary language, the booking portal switches to that language and emails are sent out to the browser language instead of the default.

If a customer's browser language isn't among the options you've selected as either a default or secondary language, our system seamlessly defaults to the fallback language you selected, preventing any potential issues with inaccurate translations.

Steps to specify and customize email languages

Step 1: Once you have specified our default and secondary language in your Kinnovis Manager, navigate to the "Emails" tab and select the location for which you want to set up an email or add another translation of an existing email.

Step 2: Create a new email or select an existing email. You will see all the default and secondary language options to be filled out.

Step 3: Translate the content of your emails in all languages. If you notice that you don't need that many email translation you can remove the language again in the "Location" > "General" > "Language settings".

Hint: Use the "Apply content from" to insert an existing template from another translation to speed up the process.

What happens to your email translations if you remove a language

When you remove a language from your language settings (via Location > General > Default or Secondary Language) that you've previously set up for an email, but in the set-up default language.

Accidentally removed a language and email translation is gone?

If you accidentally remove a language and lose your email translations, there's no need to worry! We've got you covered. The email template and its respective translations are safely stored in the background. Once you re-add the language for the respective location, the template will be restored, ready for use again. This ensures that your email communications remain consistent and professional across all languages you support.
